Tour Coordinator

Location: Burgess Hill

Reports to: Tour Coordinator Supervisor

Contract: Full Time Permanent

Job Role Summary

A Tour Coordinator is responsible for organising and managing the logistical aspects of our ski trips and educational tours, including scheduling, transportation, accommodations, and on-site coordination. This role involves close collaboration with party leaders, suppliers, and colleagues to ensure all elements of the tours run super smoothly and align with our diverse itinerary options.

Key Responsibilities

  • Delivering each trip through full cycle from confirmation to post-tour feedback
  • Preparing detailed travel plans and itineraries
  • Managing bookings
  • Building and growing relationships with party leaders, colleagues, and suppliers
  • Handling last minute changes or issues
  • Processing booking amendments and cancellations
  • Maintaining accurate records
  • Producing accurate paperwork for each trip including itineraries, travel packs and invoices
  • Handling all questions and queries from Party Leaders on phone and email
  • Assisting with group inspection visits
  • Processing tour invoices
  • Various administrative duties to support the wider team

The above is not an exhaustive list of duties and you will be required to perform different tasks as necessitated by the needs of the business.
